Information we may collect from you
In the course of accepting and managing your membership we collect the following personal information when you provide it to us:

Address (residential and business)
Up to 2 email addresses
Telephone numbers (residential, mobile, business and fax)
The date you joined the Club
Date of birth – only if applying for concession memberships which are age related
If you are a Playing Member of the Club, we may also collect the following additional information: –
Handicap
Umpire rating
Patron
Teams
Team Manager name
Team Manager telephone number
Details of practice chukka sessions in which you have participated or umpired
Details of matches in which you have participated or umpired
Uses made of your information
To send you communications to manage your membership, such as your annual subscription note and notice of elections and the AGM
To send you your membership pack and other documents in the post
To send newsletters and invitations via email and in the post to events which are available to Cowdray Park Polo Club members. These emails are optional – there is a link at the bottom of each email that allows you to unsubscribe from emails, should you wish.
To facilitate the formation of teams of players and Club matches
To facilitate social interaction between members
To analyse polo played at Cowdray Polo Club for the better management of scheduling, grounds management and use of facilities
Disclosure of your information
If you are a Playing Member we may share some of your details with other Playing Members via a “Players List” to facilitate the formation of teams and the organisation of Club matches
We may share your name (only) in our Yearbook listing pervious years membership names
We share your email address(es) with Mail Chimp who send newsletters and emails about upcoming events to you on our behalf.
We also share your details the Club’s caterer, to verify your entitlement to make bookings at Members’ only functions.
We will share personal information with law enforcement or other authorities if required by applicable law
We will not share your personal information with any other third party.
Retention of your Data
We will hold your information for the duration of your membership and for up to 7 years after your membership has ended.
